Part-Time Receptionist/Admin Assistant

With almost fifteen years of experience and a new modern vibe in Swords, work at Grup Eina has never been more exhilarating. We require incorporate a Part-Time Receptionist/Admin Assistant. Initially the position is temporary but potential for full-time. Duties: • To provide a welcoming and professional front of house service. • Access Control & CCTV. • Managing day to day administration of the office. • Manage all incoming and outgoing deliveries and post. • Taking incoming calls and passing messages and queries to departments. • To provide support to the team in managing day to day activities while balancing the long-term objectives of the team and the organization. • Purchasing office supplies and controlling and analyzing their costs. • Ensure the supply of toilet paper, kitchen paper, water, tea, milk, biscuits, … • Work with the facilities leader to ensure the facilities budget is tracked on a continuous basis, process invoices, identify cost savings. • Deal with facilities contractors and key suppliers. • Manage corporate mobile phones. • Coordinating travel arrangements. • Speaking English reinforcement to the Managing Director. • Treat all matters related to the office with discretion and confidentiality. • Plan staff conferences and making sure everyone knows when and where to be there. • Leading the Internal Quality Assurance of Assessment processes of training classes and monitoring the quality of assessors’ performance. • Ad-hoc administrative duties as required. Key Requirements: • Excellent customer service skills and telephone manner. • Strong interpersonal skills with the ability to interact and communicate effectively. • Ability to work independently performing administrative functions. • Excellent administration, planning and organizational skills. • Excellent written and verbal communication skills. • Strong IT skills including MS Word / Excel / PowerPoint. • Flexibility and ability to multitask and meet deadlines.
